**Exhibitors with large buses or larger displays will be contacted directly for set-up and move-in times. No booth may be dismantled prior to the designated time without permission from OkACTE. OkACTE reserves the right to disqualify any vendor from any OkACTE event for non-compliance with this requirement.
As we prepare to see you, we want to be sure that you are planning to protect yourselves and others from the spread of Covid-19. We have made adjustments to the exhibit hall layout to ensure that you and our members have enough space to network. We have put in much time and thought to make sure that this is a great experience for you as well as our attendees.

PLANNING WITH COVID MEASURES:
The Oklahoma Summit planning team believes that there is an effective national vaccine program in place, with rigorous testing. The team plans to proceed in planning the conference with safety protocols in mind, and will implement those measures, regardless of a lift in the precautions provided by the CDC.

Masks/Hand Sanitizer Stations
We will strongly encourage everyone to wear masks and to practice social distancing. Hand sanitizer stations are set throughout the convention center, and will be included in Exhibit Halls C&D.
Check-In/Registration
All exhibitors can check in at the OkACTE booth upon entering Exhibit Halls C&D. You can pick up your name tag there and will be instructed on how to locate your booth.
Name Tags
To assist in reducing the spread, we have limited our vendors participation in booth spaces. Standard booths (10x10) have been given 2 name tags and our premium booths (10x 20 or larger) will have 4 name tags for their spaces. If you purchased multiple booths, you will receive the applicable amount of name tags for the purchased space. The name tags will only include the business name, so there will not be a need to update names.
Dismantling Booths
Exhibitors are required to keep booths open until 3:30 p.m. Please do not dismantle booths prior to 3:30 p.m. Thank you for your cooperation!
Guidelines from the Oklahoma City Convention Center
The Oklahoma Convention Center has provided the following guidelines in preparing for our show:

Painting of any kind within the OKCCC is strictly prohibited. Exhibitors may not glue, tape, tack, nail, screw or in any way affixed to any interior or exterior surface of the Convention Center. Nothing may be attached to exhibit floor columns, even within booths and drilling is strictly prohibited.

Glitter, streamers and adhesive-backed(stick-on) decals are strictly prohibited and may not be distributed or used for any purpose within the OKCCC.

Any Exhibitor interested in distributing food or beverage must be the manufacturer of said product or be exhibiting in a food or beverage or related industry show. Exhibitors must only distribute “bite size” samples of no more than two (2) ounces of food or non-alcoholic beverages. Exhibitor cannot participate in cash sales of said product during the show.

Vehicles may not be displayed without the prior written approval of show management. Any fuel-powered vehicle on static display must have the smallest possible amount of fuel, not more than 1/4 tank or 5 gallons whichever is less. The gas cap must be locked or sealed by tape; batteries must be disconnected. Vehicles may not be started, run or moved during event hours. Vehicles must have protective material (carpet, visqueen, or drop cloth) underneath the tires and engine, at all times to protect carpet. Security must receive keys to all approved display vehicles for emergency purposes.

Helium-filled balloons are allowed in the Convention Center only as part of a display and must be securely fastened to the booth. Balloons may not be given out and must be used for décor only. Compressed gas cylinders used to inflate balloons must be properly secured to prevent toppling and must be removed from within the during all event hours. Cleaning and/or removal of balloons will incur additional charges.

Exhibitor-owned or leased vehicles are NOT allowed to drive on to the exhibit floor to unload or load without prior approval from show management and the OKCCC. Access to the exhibit floor for tractor-trailer trucks, cranes, etc., must be arranged in advance through show management. The OKCCC does NOT provide carts, dollies, pallet jacks, labor etc., for exhibitors’ use. Materials needed for vehicle move-out or move-in are at the responsibility of the owner, show management or General Service Contractor/Decorator.


Each of our participating exhibitors will be featured on our event app, Oklahoma Summit.
